Unified Data Analytics Solution Implementation Timeline


Fall 2024 – Summer 2025 (October 2024 – September 2025) – Grant Year 1

  • Evaluate request for quotes, conduct vendor interview and demos, select vendor
  • Identify priority dashboard needs, including those that influence strategic, Title III and operational decisions (i.e., data analytics road map), with focus on data exploring challenges faced by low-income and underserved students.
  • Identify analytic solution key elements needed to meet COCC needs (e.g., integration with existing systems, user licenses, security specifications, maintenance and reporting needs, etc.).
  • Determine IT and Institutional Effectiveness staff training or professional development needed to manage, maintain and sustain analytics solution.
  • Develop end-user survey that will be used in previous years to determine efficacy of data analytics solution.

 

Fall 2025 – Summer 2026 (October 2025 – September 2026) – Grant Year 2

  • Implement a proof of concept which will be a small scale UDAS 
  • Evaluate the proof of concept, including importing data, developing technical processes for combining data sources, developing data dashboard pilots, and assessing initial product.
  • Roll out proof of concept to prioritized end users.
  • Work with internal teams and vendor to determine college wide employee professional development or trainings.
  • Conduct focus groups or other assessment to determine end users’ ability use dashboards to inform decisions.
  • Work with vendor to train staff to operate and manage the UDAS
  • Monitor performance indicators and activity-level objectives.

 

Year 3: October 2026-September 2027

  • Begin scaling up UDAS by incorporating my data sources, building more reporting data sets, and developing more data dashboards and reports.
  • Introduce and expand tool to additional end users.
  • Conduct mid-year trainings for departments wanting to expand the use of data.
  • Evaluate end user ability use dashboard to make decisions.
  • Work with vendor to train staff and operate and maintain UDAS.
  • Monitor performance indicators and objectives.

 

 Year 4: October 2027-September 2028

  • Meet with departments not actively using data to share success stories and explore how data could be best used to inform decisions.
  • Conduct mid-year trainings for departments wanting to expand the use of data.
  • Develop and refine ongoing process for UDAS use beyond the grant.
  • Evaluate activity-related goals and objectives.
  • Staff are operating and maintaining UDAS.

 

Year 5: October 2028-September 2029

  • Meet with departments not actively using data to share success stories and explore how data could be best used to inform decisions.
  • Conduct mid-year trainings for departments wanting to expand the use of data.
  • Develop and refine ongoing process for UDAS use beyond the grant.
  • Evaluate activity-related goals and objectives.
