General Person Standards
In the Banner system, the General Person module is shared between the Banner Student, Financial Aid, Human Resources, Account Receivables and Finance Information Systems. This module contains all the biographic information for all person and non-person data entity types including students, employees, vendors and others.
Use the following Data Stewardship guidelines when editing general person data elements.
Gender Code: A value must be assigned to the Gender Code. If the individual has not provided the information, enter the value of Not Available.
Date of Birth: The date of birth is required for all students and employees, and should be entered for all person types when available. Age is system calculated using current system date and date of birth.
Social Security Number: If available, enter the entire nine-digit number, omitting dashes, in the SSN field. Please note that SSNs or TINs (Tax ID Numbers) are required for all tax reporting purposes (1098, 1099, W2, etc. and for students who are planning to receive Federal Financial Aid).
Confidential Information Indicator: Check this field if the person requests in writing that their information not be released. When defining a population selection it is important to consider excluding records marked as confidential.
Citizen Type Standards: Use the List function to select the appropriate value. Citizen type is required for all students and employees.
Ethnicity: DO NOT USE -Legacy field no longer used. Replaced by New Ethnicity and Race.
New Ethnicity: Use the List function to select the appropriate value based on data received.
Ethnicity and Race Confirmed Box: Check the box when data is received.
Race: Select the appropriate value(s) based on data received. An entry may be made for each valid race value. If the person chooses not to report, enter U (unknown/unreported).
Marital Code Standards: Use the List function to select the appropriate value.
Religion Code Standards: This field will not be populated.
Legacy Code Standard: Use the List function to select the appropriate value.
Vet File Number: Enter this information if a student is receiving VA benefits.
Veteran Classification: Use the List function to select the appropriate value.
Date of Discharge: Enter this information if a student is receiving VA benefits or if an employee has an active duty separation date.
Armed Forces Service Medal Indicator: Check this box if individual is an Armed Forces Service Medal Recipient.
Disabled Veteran: Check this box if individual is a Disabled Veteran.
Deceased Indicator: Check this box if the person is deceased.
Deceased Date: Enter the date of demise if known. If date is unknown, enter date of notification.
